Usage & Utilization
How much of this project's plan quotas the roster is actually using — a proxy for cost/margin per seat until real Firebase billing data is wired in below.
Leads, appointments, tasks, and disbursements are scoped by when they were created within the selected range. Active Seats, Contacts, Companies, and Attachments Stored are always all-time (a roster count and a storage footprint don't reset month to month).
Organizations (Multi-Tenant Foundation)
Every account will eventually belong to an Organization (one per paying subscriber) so each Agency's data stays logically separated from every other Agency's, while you keep cross-org visibility here. This is Phase 1: the schema, an organizations collection, and a one-time backfill so today's roster and their existing records get tagged as the first Organization. Nothing is enforced/restricted by org yet — firestore.rules only gets the org field wired in, existing access rules are untouched until a later phase turns enforcement on.
Plan Quota Utilization
Every seat's base plan includes 500 leads and 200 document attachments per month, regardless of role. This estimates whether this project's roster is running inside or over that included quota — a signal for upsell (extra lead packs, Document Storage add-on) as much as for cost.
| Quota | Included (this project) | Used | Utilization |
|---|
Usage by Agent
Per-seat activity in the selected range — useful for spotting which seats are driving the most load, and which are barely active.
| Agent | Role | Status | Leads | Appointments | Tasks | Attachments (all-time) |
|---|
Firebase Cost (not yet connected)
Actual ₱/$ Firebase spend (Firestore reads/writes, Cloud Functions invocations, Hosting bandwidth, Storage) isn't available here yet — it requires enabling Google Cloud Billing Export to BigQuery for this project, which takes about 24 hours to start populating after it's turned on. The numbers above are a usage-based proxy in the meantime, not real billing data.
Recipients
Pulled from every client (Sales) AND lead/prospect (Leads) across Prepaid, IFG, SME, and Corporate — agents see only their own book; managers see the whole team's, filterable by agent below. Only records with an on-file email address can be selected. If the same email exists as both a client and a lead, the client record is shown.
| Name | Source | Product | Plan / Status | Agent ↕ | NB/RB |
|---|
Compose Email
Merge fields: {{name}} (recipient's name), {{product}}, {{plan}}. These get replaced per-recipient when the email sends. Every email goes out under your own name (from your Profile) with replies routed back to your own inbox.
Blast History
| Date | Subject | Sent By | Recipients | Delivered | Opened | Clicked | Bounced |
|---|
New Email Template
Shared with every consultant — anyone can add one here, and use it to send a one-to-one email to a specific lead or client (not a blast). Merge fields: {{name}}, {{product}}, {{plan}}, {{agentName}}, {{agentCode}}.
The recipient's own email always goes in To. These are optional extras this template adds automatically every time it's used.
Shared Template Library
One-click adds the 10 routing templates from Quick Reference → Prepaid → Escalation Process Guide (Sales Invoice, Reference Codes, Membership Correction, QR/Deeplink requests, Refunds, LifeSaver updates, etc.). Safe to click more than once — existing templates with the same name are skipped.
Search Clients
Find any Prepaid or IFG client by name, email, phone number, Customer/Order Number, SH/MH Number, or Maxicare Card Number — across every agent's book if you're a manager. Click a result to open and edit that client's card directly.
Your Call Queue
Once you save a call from your queue, the next lead assigned to you appears automatically.

Area Saturation
How much of this territory has been contacted so far. "Covered" means at least one call has been logged (status is no longer New).

Import Leads (Excel / CSV)
Expected columns (any order, header names are matched loosely): Agent Name, Account Type (Individual, Family, Group, School, LGU, NGO, Business, or Organization — matched loosely by keyword, e.g. "Company" maps to Business), Organization Name, Contact Name, Title/Position, Contact Number, Email, Address, City, Area, Region. If Firebase and logins are set up, Agent Name should exactly match a registered team member's name or email (see the Team tab) so the lead lands in the right person's queue.
📱 Facebook Lead Ads: export straight from Meta — Ads Manager → Leads Center → select your form(s) → Download, or Meta Business Suite → Publishing Tools → Forms Library. Download promptly; Meta only retains leads for about 90 days. The exported CSV can be dropped in as-is: full_name (or split first_name/last_name), phone_number, email, company_name, job_title, campaign_name, ad_name, and form_name columns are all recognized automatically, and matching rows are tagged "Facebook" as their source for reporting.
New Prospects
Untouched leads — nobody has logged a call against these yet. Once one gets a disposition, it moves to the "Working Leads" tab automatically.
Click any row to edit its details or reassign it. Use the Log Disposition button for a quick first touch without opening the full call flow. Numbers marked Bad Number don't match a valid PH mobile (09XXXXXXXXX) or landline format; Duplicate means the same number appears on more than one record. Use "Scrub Contact Numbers" to auto-fix common formatting issues (missing 0, +63 prefix, stray spaces/dashes) in bulk.
| Agent | Type | Organization | Contact | Position | Number | Headcount | City | Area | Region | Status | Last Disposition | Quick Action | Delete |

Bulk Assign Leads
Assigns every lead currently matching the filters above (search, status, agent, region, area, city) to the agent(s) you pick here. Pick more than one agent to split the batch evenly (round-robin) — handy for dividing up an entire area or region across a team.
Working Leads
Every lead that's been touched at least once — working, scheduled, interested, or closed out. Fresh, untouched leads live in the New Prospects tab instead.
Click any row to edit its details, reassign it, or change its status.

Proposal Letterhead
Uploaded once, shared by the whole team — this image appears in the upper-right corner of every Letter of Intent and Prepaid Proposal PDF anyone generates.
Purchase QR Banner
Uploaded once, shared by the whole team — replaces the plain "Scan here to purchase prepaid Cards" box with your own branded banner. Your Life Saver (SVP) and Prima (Dashlab) QR codes get stamped directly onto the two blank squares in the image, so design it with two empty boxes side by side where you want the codes to appear.
These percentages position each QR code's top-left corner over the blank squares in your uploaded image. Defaults are pre-set to match the sample banner layout — generate a test proposal and nudge these if your own image places the boxes differently.
Letter of Intent
A short introductory letter to a prospective client, expressing Maxicare's intent to present a formal proposal. Downloads as a PDF you can send as-is.
Prepaid Proposal
A formal proposal quoting a specific Maxicare Prepaid product for a prospective client, based on plan, price, and headcount. Downloads as a PDF.
Prepaid Sales Overview
Scoped by Purchase Date. Commission = (Price ÷ 1.12) × HBA rate — the 12% VAT is excluded before computing commission, per the MKAA commission scheme.
My Shop Link Performance
Visitors who filled out your Shop Link (find it on your Profile tab, under My Sales Links) before being sent to Prima or LifeSaver — each one lands in your New Prospects tagged 🔗. Scoped by Submitted date. Showing up to 25.

My MyMaxicare Quote Leads
Visitors who used your MyMaxicare Quote Link (find it on your Profile tab, under My Sales Links) — each one lands here tagged 🧮 IFG, with the full plan they selected. "Contact Only" rows shared their details but haven't finished picking a plan yet — call them.

Effective Date auto-fills to 7 calendar days after Payment Date, but you can override it. Original Effective Date auto-fills from Effective Date the first time it's saved (it stays fixed after a renewal changes Effective Date) — also overridable. Follow-up tasks (proposal, application, APE advisory, billing, renewal) are created automatically the first time each relevant date is saved.
Plan Premium + Riders is the amount due per payment; this is annualized ×2 for Semi-Annual, ×4 for Quarterly.

Bulk Import from PDF
Upload up to 100 Supplier's Analysis Sheet PDFs (the ones attached to Maxicare's "PAYMENT NOTIFICATION" emails) at once — each is read directly in your browser, matched against Maxicare's SAS template, and checked against your existing records for duplicates before anything is saved. This is best-effort text parsing, not OCR of a scan — it only works on the real digital PDF Maxicare emails, and anything it isn't confident about is flagged for you to enter manually instead of guessing.

Shown on your My Card below — the shareable business card you can copy or download to send to prospects.
My Cards
Three shareable cards, each built around one action — book a meeting, buy Prepaid, or get a MyMaxicare quote. Your photo, title, contact details, Agent Code, Facebook, and TikTok are the same on all three; only the QR code and accent color change. Copy or download each one as a picture to send straight to a prospect.
Pick a look, or upload your own background photo — applies to all three cards. A dark overlay is added automatically on custom backgrounds so your text always stays readable.
My 100 Prospects
Every Health Benefit Consultant builds a personal list of 100 people they know as their first prospecting queue. Download the template and fill it in, import a spreadsheet, or add people one at a time below — each entry becomes a real Lead in your Leads tab, ready to work like any other.
30-Day Activation Challenge
New Health Benefit Consultants get 30 days from approval to get fully set up and earn points along the way — CRM basics, prospecting, training, Facebook presence, and real production (proposals sent, plans sold). Facebook items are honor-system, no proof needed; sales items auto-verify against your actual CRM records. Prepaid and MyMaxicare sales challenges must close within 30 days — the SME sale gets a longer 90-day window since those deals take longer to close.
Activation Leaderboard

Proposal Signature
This is what gets stamped onto every document you generate from the Proposal Generator tab (Letter of Intent, Prepaid Proposal). Your Name and Email are pulled automatically from your profile above.
This URL is what opens when someone clicks your signature image or scans its QR code on a generated PDF.
Not stamped on PDF proposals — these pull into your Email Blast signature only, alongside QR codes for your Prepaid Shop Link and MyMaxicare Quote Link.
My Booking Link
Share this link so prospects can request an appointment with you directly — every submission drops straight into your Tasks list. It's also the default Signature Link URL above until you replace it with something else.
Your own scannable QR code for this link — screenshot it or download the PNG to post or print anywhere.
Booking Availability
Set the days and hours you're open for appointments — your public booking link will only offer dates that fall within this schedule.
Google Calendar Sync
Connect your Google Calendar so your booking page also skips times you're personally busy — not just appointments already logged in Nexus. We only ever check free/busy status, never your event details.
Hiring Interview Availability
Controls the days and times offered on the public Hiring Application form's Initial Interview picker — change this instead of asking for a code change whenever the schedule needs to move.
My Sales Links
Keep these up to date so you can quickly copy and share them with leads. Both also get turned into "Scan here to purchase prepaid Cards" QR codes, printed under your signature on every generated Letter of Intent and Prepaid Proposal.
Visitors fill in their contact info, pick Prima or Life Saver, then get sent to the matching link above — and land in your New Prospects tagged 🔗. Every submission is tracked under your name, even repeat purchases.
Your own scannable QR code for this link — screenshot it or download the PNG to post on Facebook, Instagram, or wherever you share.
Visitors pick their age, coverage type, plan, and riders, see the price instantly, then get a personalized quote emailed to themselves (with you CC'd) and downloaded to their device — and land in your New Prospects tagged 🧮.

Companies enter their employee count and pick a plan, see a rate card instantly, then get it emailed to themselves (with you CC'd) and downloaded to their device — plus book a callback at their preferred date/time. They land in your New Prospects tagged Business.

Clients fill out the official MyMaxicare Application Form themselves, generate a filled copy of the real form for signing, and upload their signed copy plus requirements (valid government ID, etc.) — all without needing to sign in, and it lands in your MyMaxicare Application Form tab.

Assigning a Manager to a team scopes that team's MyMaxicare proposal emails to CC only that manager, instead of every manager account.
Every record (calls, tasks, tickets, appointments, leads, sales, email blasts) gets re-synced to whichever team its assigned agent is on RIGHT NOW — not just records with no team yet. Run this after moving anyone between teams/sub-teams so their past records move with them on the Unit/Agency Dashboards.
MyMaxicare Reference Documents

Objection Handling
Acknowledge the existing benefit, then ask what it does NOT cover (private rooms, specialists, dental) to surface gaps a supplemental plan can fill.
Ask about their renewal cycle and offer to check back closer to that date; mention group/association rates that may lower cost.
Confirm who the decision-maker is, offer to send a one-page summary they can forward, and schedule a specific callback.
Thank them, probe on satisfaction (claims process, coverage limits), and log for future re-contact rather than pushing further.
Disposition Codes
| Code | Definition | Required Action |
|---|---|---|
| Interested – Email Sent | Teacher engaged, gaps identified, pitch materials emailed | Follow up within 3–5 business days (required) |
| Interested – Callback Requested | Needs more time / must check with decision-maker | Set callback date (required); log decision-maker name |
| Interested – Appointment Set | A specific meeting/visit has been scheduled | Set appointment date & time (required) |
| Not Interested | Satisfied with current provider or declines | Log reason; nurture in 6–12 months |
| Unanswered | No one picked up / not reachable | Set next follow-up date (required) — lead returns to queue |
| Wrong Number | Number inactive or wrong person | Flag for data cleanup |
| Do Not Call | Explicitly requests no further contact | Add to DNC list immediately |
Compliance Reminder
Confirm the contact is speaking voluntarily and may end the call anytime. Handle personal/health information per the Data Privacy Act of 2012 (RA 10173) – get verbal consent before recording sensitive details. Honor "do not call" requests immediately.

Deleted Sales and Leads land here instead of disappearing outright. Restore anything within 30 days of deletion — after that it's gone for good. Managers see everyone's deleted records; agents see their own.

- Firestore Database → Start collection → collection ID
users→ document ID = the UID you copied → add fields:name(string),email(string),role(string, valuemanager).
- Recommended Firestore rules (Firestore → Rules tab) — this restricts agents to only their own leads and calls, lets a manager see everything, and lets a brand-new visitor create only their own pending access request via "Request Access" (they cannot grant themselves manager or approved status):
rules_version = '2'; service cloud.firestore { match /databases/{database}/documents { function signedIn() { return request.auth != null; } function myRole() { return get(/databases/$(database)/documents/users/$(request.auth.uid)).data.role; } function isManager() { return signedIn() && myRole() == 'manager'; } match /users/{userId} { allow read: if signedIn(); allow create: if isManager() || (signedIn() && request.auth.uid == userId && request.resource.data.role == 'agent' && request.resource.data.status == 'pending'); allow update: if isManager() || (signedIn() && request.auth.uid == userId); allow delete: if isManager(); } match /teams/{teamId} { allow read: if signedIn(); allow create, update, delete: if isManager(); } match /tickets/{ticketId} { allow read, create: if signedIn(); allow update: if isManager() || (signedIn() && (resource.data.createdByUid == request.auth.uid || resource.data.assignedToUid == request.auth.uid)); allow delete: if isManager(); } match /leads/{leadId} { allow read, update: if isManager() || (signedIn() && resource.data.assignedAgentUid == request.auth.uid); allow create: if isManager() || (signedIn() && request.resource.data.assignedAgentUid == request.auth.uid); allow delete: if isManager(); } match /calls/{callId} { allow read, update, delete: if isManager() || (signedIn() && resource.data.agentUid == request.auth.uid); allow create: if signedIn(); } } }If your Rules tab still has an older version (missing theteamsorticketsmatch blocks, the self-signupcreateclause, ordeleteoncalls), paste this updated version in and click Publish — otherwise "Request Access" sign-ups, Teams, Tickets, or deleting a call record will fail with a permissions error.
Email Notifications for Access Requests (Optional)
When an agent submits "Request Access," we can email you automatically using a free service called EmailJS — no backend server needed. One-time setup:
- Go to
emailjs.comand create a free account. - Email Services → Add New Service → connect your inbox (e.g. Gmail) → copy the Service ID.
- Email Templates → Create New Template. Set "To email" to your own address, and use variables like
{{agent_name}},{{agent_email}},{{agent_code}},{{date_coded}}in the subject/body. Copy the Template ID. - Account → General → copy your Public Key.
- Paste the three values below to test on this device, then send them to Claude so they can be baked permanently into the live app for every visitor's device.
Clean Up Duplicate Call Records
Before repeat calls to the same lead were merged automatically, every retry created its own row in the calls log — the same organization could end up with several near-identical entries. This scans for those and lets you merge each group down to a single record (with an attempt count) instead of hunting for them one by one. This only affects old data; new calls already merge on their own.
